PDF Invoice Detection and Collection
ScanBill ensures PDF invoice detection through two operating modes, designed to adapt to different usage scenarios.
In automatic mode, the application runs in the background and continuously monitors defined folders. At regular intervals (for example, hourly, depending on the selected configuration), ScanBill automatically detects the arrival of new PDF invoices and starts processing them without any user intervention.
In manual mode, users can select one or more PDF files at any time, create a batch of documents, and manually trigger processing. This mode provides full control, especially for one-off imports or validation phases.
A processing progress tracker is available, displaying the number of documents processed and the current processing status.
Intelligent Billing Data Extraction
Once invoices are detected, ScanBill performs intelligent billing data extraction, regardless of the document’s format or layout.
The key extracted information includes:
Invoice number and invoice date
Amounts (net, gross, taxes)
Customer and contract references
Meter number
Billing periods
Consumption data (electricity, energy, meter indexes, kWh, etc.)
The extracted data fields automatically adapt to the actual content of each invoice. This approach ensures reliable and consistent data extraction, even when dealing with heterogeneous formats or supplier-specific layouts.
Data Structuring and Rule Engine
After extraction, ScanBill relies on a customizable rule engine to structure and normalize billing data.
This engine is based on XML rule files, allowing precise definition of how information is identified and interpreted according to each supplier’s invoice layout.
This approach provides high flexibility and scalability, enabling support for a wide variety of invoice formats and allowing rule evolution without modifying the application core. Extracted data is standardized, validated, and prepared for consistent use, regardless of document volume or origin.
If your invoice format is not yet supported, simply provide a sample invoice and we will integrate it into ScanBill.
Data Export, Integration, and Traceability
The structured data generated by ScanBill can be exported in CSV format, ready for use in office tools such as Excel or for integration into third-party energy management and analysis software, such as AREE.
Multiple export modes are available to match operational requirements:
